Acceptance of Terms:
By accepting the quotation and/or paying the deposit for the 360° Video Booth rental, the Client acknowledges and agrees to be bound by these Terms and Conditions.
Definitions:
The Client: The individual or legal entity making the booking or engaging the services of the Service Provider, including any representatives acting on their behalf.
The Service Provider: Klik360 Photo Booth (Pty) Ltd (trading as Klik360 Photo Booth), the entity responsible for providing the 360° Video Booth services.
1. Booking & Payment Details
1.1 Bookings, Deposit & Balance
All quotations are valid for 7 working days.
A 50% deposit is required to confirm your booking.
The remaining balance must be settled no later than 7 days prior to the event date.
Deposits are non-refundable unless otherwise stated under the cancellation and postponement policy.
1.2 Short-Notice Bookings
For bookings made within 7 days of the event, full payment is required at the time of booking.
1.3 Custom Overlay Design & Video Soundtrack
Design of the custom video overlay will commence only once the deposit has been received.
The Service Provider will provide 2 to 3 overlay options for the Client to review and choose from, based on information supplied by the Client.
The Client may request up to two rounds of reasonable amendments to the selected overlay.
Each event is limited to a maximum of 8 different song selections for the video soundtrack - songs are allocated at random by the paid Sotware Application.
If the Client wishes to select specific songs, these must be provided to the Service Provider no later than 14 days before the event.
Delays in payment may result in delays to the design process.
1.4 Booking Confirmation
Once confirmed, the booking start time and duration are final.
In the case of postponement or cancellation of the event on the day of the booking, the full booking fee remains payable.
The Service Provider accepts no liability for any loss, cost, or damages resulting from the non-use of services.
1.5 Extension of Service
Should the Client require additional time beyond the confirmed booking on the day of the event, the extension will be subject to operator availability and subsequent bookings.
Additional time will be billed at R1,000 per hour, payable during the event via EFT, card, or cash.
Services are rendered in hourly segments - any time exceeding the original booking will be rounded up and billed as a full additional hour.
1.6 Setup & Idle Time
The Video Booth setup takes between 30 minutes and 1 hour. Access to the venue must be provided at least 1 hour before the scheduled operating time.
If setup is required earlier than the standard 1 hour before the booked operating time, or if the Client requests an interval (pause in operation), an idle time fee of R500 per hour will apply**
Disassembly after the event takes approximately 30 minutes.
**Example: If the booth is booked from 17:00–20:00 but setup must be completed by 16:00, the idle hour from 16:00–17:00 will be billed at R500. The setup hour (15:00–16:00) is not billed.
2. Cancellations
2.1 Deposit
A 50% deposit is required to secure the booking date.
This deposit is strictly non-refundable under all circumstances.
Where possible, and subject to availability and the Service Provider’s discretion, reasonable accommodation will be made to transfer the deposit in the event of a postponement.
2.2 Postponements
If the client requests a date change or postponement within 7 days of the event:
a) The Service Provider will check availability for the new date.
b) If the new date is available, the deposit will be transferred to the updated booking date.
c) If the new date is unavailable, the deposit will be forfeited.
2.3 Cancellations
Any cancellation will result in forfeiture of the deposit.
If cancellation occurs less than 7 days before the event, the full booking fee will be forfeited.
2.4 Circumstances Beyond Control
No refunds will be issued if the service cannot be rendered due to circumstances beyond the Service Provider’s control, including but not limited to:
a) Load shedding and/or unscheduled electricity outages
b) Acts of God (floods, storms, earthquakes, fires, etc.)
c) Force majeure (civil unrest, acts of terror, government restrictions, strikes, legislation, etc.)
d) Severe traffic delays or vehicle breakdowns
2.5 Service Disruption
In the unlikely event that the Service Provider is unable to deliver uninterrupted service for at least 90% of the booked time, the Service Provider will either:
a) Extend the operating time on the day to compensate for time lost, or
b) Agree with the Client on a fair and reasonable form of compensation.
3. Booth Setup, Equipment & Safety
3.1 Client Responsibilities
The Client is responsible for ensuring that:
a) The venue is suitable and provides safe operating conditions for the photo booth setup and operation.
b) Make any necessary arrangements with the Venue Management for setup and allocation of space.
c) Guests do not damage equipment or bother/harass staff during the event
3.2 Safety & Service Termination
The Service Provider reserves the right to terminate services immediately if the safety of staff or equipment is at risk.
In such circumstances, no refund will be issued.
3.3 Equipment Damage
Any loss of, or damage to, equipment caused by the Client, guests, venue, or negligence will be invoiced to the client.
The Client will be liable for the full cost of repair or replacement.
3.4 Indemnity
The Client indemnifies the Service Provider against all liability for any claims, damages, or losses arising during or after the event.
4. Marketing Materials
4.1 Use of Content
Unless otherwise agreed in writing, the Service Provider reserves the right to use any videos taken in the 360° booth for marketing and promotional purposes.
4.2 Liability for Use
The Client agrees that the Service Provider will not be held liable for any claims arising from the lawful use of such material, including but not limited to privacy or publicity rights.
5. General
All prices and rates on the Service Provider’s website and quotations are exclusive of VAT. The Service Provider is not currently registered as a VAT vendor.
5.1 Klik360 Package Pricing (excl. VAT)
Bronze (2 hours): R3,000.00
Silver (3 hours): R4,000.00
Gold (4 hours): R5,000.00
Platinum (5 hours): R6,000.00
Titanium (6 hours): R7,000.00
Ruby (7 hours): R8,000.00
Diamond (8 hours): R9,000.00

5.2 Travel Rates (excl. VAT)
Travel outside a 30 km radius will be charged at R4.50 per km.
Venue details must be provided upon booking; estimated travel costs will be included in the quotation.
5.3 Service Commitment
The Service Provider is committed to delivering high-quality services. While all reasonable efforts will be made to ensure services are provided as agreed, the Service Provider shall not be held liable for interruptions or delays outside its reasonable control
5.4 Operational Requirements and Additional Conditions
The 360° video booth requires a minimum operating space of 3m x 3m.
A standard 220–240V electrical socket is required for operation. If the client requires operation in a power-limited environment (where no direct socket is available), this must be communicated at the time of booking so that suitable power arrangements (e.g., UPS or generator) can be provided.
The Service Provider’s branding details will appear at the end of each video unless otherwise agreed in writing prior to the event.
